Job Purpose:

The Payroll Manager is responsible for leading payroll operations, with an emphasis on transformation, process stabilization, and consolidation. This role is critical for ensuring payroll accuracy, timeliness, and compliance, while developing a world-class payroll department. The Manager will coordinate efforts across multiple teams and stakeholders, operating in a complex, fast-paced environment. As the subject matter expert on payroll, this individual will be instrumental in optimizing both the technical and operational aspects of the payroll function.

 

Key Responsibilities:

  1. Manage Payroll Routine & Compliance

    • Oversee payroll for Canadian operations across multiple provinces and employee groups, ensuring the accurate and timely processing of wages, bonuses, and other benefits.
    • Collaborate with HR, IT, Legal, and Benefits Administration to address payroll issues and maintain communication across departments.
    • Provide data and analysis support to Finance, Treasury, and other teams to assist with accounting and labor cost analysis.
    • Develop and cross-train payroll team members to build a resilient, high-performing department.
    • Maintain and update payroll policies, ensuring compliance with Federal, Provincial, State, and Collectively Bargained wage regulations.
    • Act as a liaison between employees and managers, advising on payroll-related concerns.
  2. Manage Month-End and Year-End Process

    • Manage year-end payroll processes, including W-2s, T4s, 1099Rs.
    • Prepare filings for federal and provincial regulators, and respond to queries related to deductions and remittances.
  3. Process Improvements 

    • Lead initiatives to continuously improve payroll processes, aligning with business goals and enhancing efficiency.
    • Work collaboratively with HR, IT, and other stakeholders to optimize system configuration and data flow between HR and payroll systems.
  4. Project Management 

    • Play a lead role in payroll-related projects, including requirements gathering, testing, and change management to ensure smooth implementation and adherence to new processes or products.

  • Strong leadership and communication skills.
  • Analytical mindset with a focus on problem-solving and prioritization.
  • Ability to identify and implement process improvements and drive efficiencies.
  • Strong interpersonal skills, able to work effectively with various teams.
  • Proficiency in Microsoft Excel.

 

Education & Qualifications:

  • Degree or Diploma in Human Resources, Business Systems Management, Payroll, or an equivalent combination of education and experience.

 

Experience:

  • 8-10 years of payroll and HRIS experience, with exposure to large and unionized organizations.
  • Experience with Dayforce and Kronos is an asset.
  • Canadian payroll knowledge required (US payroll is an asset).
  • Prior experience in a manufacturing environment is a plus
