WHAT IS THE OPPORTUNITY?
The Building Services Coordinator role combines front-desk responsibilities with facility coordination duties to ensure a welcoming and well-maintained workspace. This dual-role position involves managing the reception area, providing administrative support, and coordinating building maintenance and services. The ideal candidate will be organized, personable, and proactive in supporting both employees and visitors while maintaining a functional and efficient facility.
WHAT WILL YOU DO?
Reception Duties:
- Serve as the first point of contact for visitors, greeting them warmly and directing them appropriately.
- Answer and route phone calls, emails, and other inquiries professionally and efficiently.
- Manage incoming and outgoing mail and packages, ensuring timely distribution.
- Maintain a tidy and organized reception area that reflects the company’s standards.
Building Services Coordination:
- Schedule and oversee routine maintenance, repairs, and inspections for building systems such as HVAC, plumbing, and electrical.
- Act as the primary liaison with vendors and service providers, coordinating facility-related activities.
- Address maintenance requests from staff and escalate issues to the Facilities Manager when necessary.
- Monitor building conditions and proactively identify areas requiring improvement or repair.
Health, Safety, and Compliance:
- Assist in ensuring the building meets safety standards and complies with local regulations.
- Conduct routine safety checks and report any hazards or incidents to management.
- Maintain records of certifications, inspections, and facility-related compliance documentation.
Administrative Support:
- Maintain schedules and records for building services, such as cleaning, waste removal, and security.
- Support internal events by coordinating meeting room setups, catering, and facility arrangements.
- Track and order office supplies to ensure the availability of essential items.
- Assist with employee onboarding by setting up workspaces and providing facility orientation.
Space Planning and Facility Improvement:
- Support space planning initiatives, including desk assignments and workspace adjustments.
- Coordinate minor office renovations or facility improvement projects with minimal disruption to staff.
WHAT DO YOU NEED TO SUCCEED?
- High School Diploma or general education degree (GED)
- 1-3 years of receptionist, administrative or front desk role within a corporate or professional environment preferred.
- VOIP (Voice Over IP) phone system experience preferred.
- Experience managing multiple priorities simultaneously.
- Excellent verbal,written communication skills in English with the ability to communicate professionally.
- Proficient in Microsoft Office Suite – Excel, Word, PowerPoint, Outlook and Teams.

Salary Range: $46,000 - $50,000
Note: This is a contract position for a duration of 12-18 months.
