Summary/Job Scope:
The Dispatch Manager for the ready-mix business is responsible for overseeing all dispatching activities, ensuring timely and efficient delivery of ready-mix concrete to customers. This role requires managing a team of dispatchers, coordinating with drivers, plant operators, and other departments to optimize delivery schedules, manage fleet resources, and maintain excellent customer service standards. The Dispatch Manager will play a key role in improving operational efficiency, reducing delivery delays, and ensuring compliance with safety and regulatory requirements.
Key Responsibilities:
Dispatch Operations Management:
- Oversee the daily dispatch operations, ensuring that orders are processed efficiently and that deliveries are scheduled and executed on time.
- Manage the dispatching team to ensure they effectively schedule deliveries, monitor progress, and resolve issues that may arise during the delivery process.
- Develop and implement strategies to optimize delivery routes, reduce fuel costs, and improve delivery efficiency while ensuring that customer requirements are met.
- Coordinate with ready-mix plant teams to ensure that production schedules are aligned with customer demand and delivery commitments.
Team Leadership & Supervision:
- Lead, train, and supervise the dispatch team, ensuring they understand and adhere to company policies, safety regulations, and best practices.
- Provide coaching and mentorship to dispatchers, helping them to improve their skills in scheduling, communication, and customer service.
- Conduct regular performance reviews for dispatch team members and provide constructive feedback to improve overall team performance.
Fleet Management & Logistics:
- Monitor the fleet’s availability, vehicle maintenance schedules, and driver hours to ensure optimal resource allocation for deliveries.
- Collaborate with the maintenance team to schedule regular maintenance and repairs, ensuring that vehicles are in good working condition and compliant with safety regulations.
- Ensure that drivers are fully informed of delivery schedules, changes, and any special requirements for each delivery.
Customer Service & Communication:
- Act as the primary point of contact for customers regarding delivery schedules, issues, and any special requests.
- Resolve customer complaints or issues related to delivery delays, product quality, or service, ensuring that the company maintains a high level of customer satisfaction.
- Work closely with the sales and customer service teams to ensure smooth coordination and that customer expectations are met.
Safety and Compliance:
- Ensure that all dispatch operations adhere to safety regulations and industry standards, including those related to driver safety, vehicle maintenance, and environmental considerations.
- Promote a culture of safety and compliance within the dispatch team, ensuring that all employees follow company policies, including safety guidelines for on-site deliveries and vehicle operations.
- Maintain up-to-date records of driver logs, delivery tickets, and other required documentation for compliance and audit purposes.
Reporting & Data Analysis:
- Track key performance indicators (KPIs) related to dispatch operations, such as delivery times, fleet utilization, customer satisfaction, and cost efficiency.
- Generate regular reports for management, highlighting operational performance, challenges, and opportunities for improvement.
- Use data and analytics to identify trends in dispatch performance, uncover inefficiencies, and implement corrective actions as necessary.
Cost Control and Budget Management:
- Develop and manage the dispatch budget, ensuring that expenses related to transportation, fleet maintenance, and personnel are controlled.
- Implement strategies to reduce transportation costs, including optimizing delivery routes, reducing empty miles, and improving fleet utilization.
- Review and analyze operational costs, suggesting areas for cost reduction and efficiency improvements.
Qualifications and Competencies:
- Bachelor's degree in Business Administration/Logistics or equivalent experience.
- Minimum of five (5) years of relevant work experience, preferably in the construction materials industry.
- Valid Clean Driver’s License required
- Knowledge of DOT rules and regulation preferred
- Creates processes necessary to achieve organizational goals. Organizes people and activities effectively. Utilizes internal metrics to effectively track progress completion. Seeks opportunities for synergy and integration. Simplifies complex processes. Uses resources efficiently.

- Competent in utilizing Microsoft office and other software. Familiarity with data visualization software, such as Power BI, and strong excel skills are considered an asset.

Salary Range: $ 85,000-105,000/year
